More transparency, more time, more money, more space,…


These are all goals that a company should set for itself in this era of digitalization, because they are definitely achievable. You may be asking yourself now “How do I create more transparency in my company?”‘ “How do I create more space in my office and more money and time at the same time?” 

A digital document management system (DMS) can help you achieve these goals. DMS refers to a database-driven management of electronic documents, which includes scanned documents such as an invoice or contract. It enables a high level of accessibility (independent of location and time) and secure archiving of documents (GoBD-compliant) within an organization.

A digital archive can replace a paper archive to a large extent and thus saves the tedious and above all space-consuming storage of folders. This leads to more space in the office and less storage space for the archive, which in turn leads to more money.

what is that and is it even possible?


In today’s age of digitization, a paperless office is certainly possible and, above all, desirable. A paperless office does away with paper-based processes as far as possible; instead, workflows, filing and archiving of documents run digitally. 

The digitization of a company enables a paperless office, which brings with it many advantages. These include. 

  • the increase in efficiency, through the acceleration of work processes
  • the cost savings, by reducing the processing effort
  • the possibility to delegate flexibly
  • the possibility to work from anywhere and the simplification of collaboration, through central access to documents. 

Not to forget sustainability and environmental protection, which are becoming more and more important.

In order to take advantage of all these benefits, a certain degree of digitalization is a prerequisite, such as the integration of a DMS system or an ERP system, as already mentioned. Connections to other software can also contribute to this.

The abbreviation DMS stands for Document Management System. It is basically a system and software that is used to manage, store and track electronic documents and images. This paper-based and unstructured data can be captured through the use of scanners or document capturing software programs. A DMS does not only control and structure documents within an organization, but also makes it available and accessible for all. 

A Document Management System (DMS) can also be used to integrate the stored documents and the available information with the company’s business processes. For example, in the Finance department. Scanned and captured invoices can be automatically synchronized with the company’s ERP booking system. Another example could also be in the Procurement department. Related documents to a purchase order can also be integrated via DMS to an Order Management System. 

DMS systems are generally not developed for specific sectors. Nevertheless, it is important to take this into account when looking for the right software. DMS providers with experience in your company’s industry, can better understand and implement it to your business processes.
