We wish everyone a happy new year


New year, new goals and new resolutions. Many set good New Year’s resolutions like quitting smoking, eating healthier, exercising more, spending more time with family and friends, and many more.


However, these resolutions are often thrown overboard after just a few weeks. Keeping good resolutions, as we can see, is often more difficult than expected. But that doesn’t mean we shouldn’t make resolutions, because they can also help us achieve set goals.
What are your New Year’s resolutions for 2023?

MDE


MDE is an abbreviation for the term Machine Data Acquisition. Machine data refers to all the information that accumulates on an industrial machine. The data is divided into two types, the process data and the production data. The process data is all the information that is necessary for the operation of a machine and is generated by the operation itself, such as the control data, but also the power consumption. The production data, on the other hand, shows the production process. This includes, among other things, information on the number of pieces produced, the weight of the parts or the dimensions.

Machine data acquisition is thus the interface between production technology machines and data processing.

The aim of machine data acquisition is to analyze information from the production processes. This increases flexibility when problems may occur. Malfunctions can be detected more quickly and communicated directly via e-mail or SMS. It also provides information on machine running times, machine downtimes and maintenance status. In this way, machine downtimes can be avoided, the potential for saving increases and overall efficiency is improved.

What is “PPS”?

PPS stands for Production Planning and Control System. This is a computer program/software tool designed to help companies plan, control and monitor production, as well as manage the data generated in the process. 

It is composed of production planning and production control. In production planning, production processes are pre-planned in the medium to short-term, and in production control, the planned production orders are placed, controlled and monitored.

The software analyzes all processes and provides objective results that help those responsible for production, purchasing, and sales to make better decisions. 

Advantages of PPS:

The use of a PPS system can reduce lead times in production, bring about an even utilization of machines, ensure a high level of delivery readiness and adherence to delivery dates, and reduce inventories and thus capital commitment.

For these reasons, a PPS system is certainly helpful for all companies in production/manufacturing – regardless of whether they are SMEs or large corporations. In this context, it is not uncommon for a PPS to already be integrated into an ERP system.

what is that and is it even possible?


In today’s age of digitization, a paperless office is certainly possible and, above all, desirable. A paperless office does away with paper-based processes as far as possible; instead, workflows, filing and archiving of documents run digitally. 

The digitization of a company enables a paperless office, which brings with it many advantages. These include. 

  • the increase in efficiency, through the acceleration of work processes
  • the cost savings, by reducing the processing effort
  • the possibility to delegate flexibly
  • the possibility to work from anywhere and the simplification of collaboration, through central access to documents. 

Not to forget sustainability and environmental protection, which are becoming more and more important.

In order to take advantage of all these benefits, a certain degree of digitalization is a prerequisite, such as the integration of a DMS system or an ERP system, as already mentioned. Connections to other software can also contribute to this.

ZUGFeRD Invoice

Are you still sending out paper invoices to your business partners? 


Then you may be part of a dying breed. Although 90 percent of all invoices worldwide are still being sent out by post, experts predict that electronic invoices will make up the lion’s share by the middle of the next decade.

There is an abundance of different data formats for e-invoices. So it’s high time for standardization. The ZUGFeRD standard has become increasingly established in German-speaking countries.

But what is a ZUGFeRD invoice anyway?

The abbreviation ZUGFeRD stands for “Central User Guide of the Electronic Invoice Forum Germany” and at the same time for a format for electronic invoices. In addition to the XML file containing the invoice data, the ZUGFeRD 2.0 standard contains a visual document in the form of a PDF. The aim of this standardized invoice format is the uniform exchange of electronic invoices.

ZUGFeRD 2.0 is compatible with the EU requirements for electronic invoices. However, the German e-invoice regulation stipulates that e-invoices are accepted exclusively as XInvoices.

With DOC² you can even create a ZUGFeRD file from a common PDF Invoice.

And this is quite easy. The only thing you have to do is:

  • Log in to DOC² (https://app.polydocs.io/ ) with your access data.
  • Go to SETTINGS -> EXPORT -> activate or add the Export Method for ZUGFeRD. Then upload your PDF file. 
  • Validate the invoice Details and Line Items, confirm and export the document.
  • As soon as the status of the document is on Finished you are able to download the ZUGFeRD PDF with XML attachment.
